Academic Affairs Assistant

CLASSIFICATION: Classified Staff (hourly)
DEPARTMENT: Academics
REPORTS TO: Vice President of Academic Affairs
FLSA STATUS: Non-Exempt
FULL TIME/PART TIME: Full-Time, works year round
LOCATION: Trenton, Missouri-Main Campus

Position Summary: Provide support for Academic Affairs Administration, Dual Credit, and other Academic Affairs needs.

Essential Functions: Duties and responsibilities include but are not limited to

  • Assist Dual Credit with registration processing
  • Utilize technology to assist with dual credit and early college retention (texting, emails, etc.)
  • Help with academic recruitment as needed
  • Process and track roster requests for enrollment verification
  • Maintain organized files for all dual credit instructors including observation requirements
  • Help Dual Credit maintain compliance with NACEP accreditation standards
  • Maintain an organized process for the Dual Credit Textbook Program
  • Work with academic affairs department to update and maintain state cataloging including ETPS.
  • Assist with academic survey creation and administration. This includes course evaluation surveys, custom surveys for Dual Credit, and NACEP/Perkins surveys sent to students, high schools, and other outside entities.
  • Assist VP of Academic Affairs with annual program assessment submissions
  • Order and assist with distribution of staff graduation regalia; order student graduation regalia
  • Employ a strong commitment to customer service and teamwork
  • Assist with mailings and event planning
  • Sort and distribute mail
  • Coordinate all travel registrations, hotel, flights, and transportation for Academic Affairs
  • Organize and maintain Course Syllabi and Faculty Office Hours for each semester
  • Attend required meetings. Compose and distribute meeting minutes
  • Post class sign cancellations on classrooms as needed
  • Perform additional duties as required

Qualifications:

Education: High school Diploma or GED. Associates degree preferred.

Experience: Combination of education and work experience; Effective written communicator; Ability to learn software programs readily.  Ability to work with all campus constituents and willingness to grow professionally.

Skills: Proficient in MS Office products; Excel, Word, Outlook.  Experienced with data entry.  Ability to work under pressure of deadlines and multitasking.  Professional communication skills.  Strong attention to detail.  Ability to work independently, respect confidentiality, and maintain professional conduct. Some on the job training will be provided.

Physical Demands: remain stationary at a desk for extended periods working on a computer screen; Moving about between buildings on the NCMC campus; reaching, pulling, and pushing when filing.

Environmental Demands: Fluctuations while moving on tile and carpeted floors in a heated and air conditioned environment.
